Bring your own AI keys

If your university already has its own AI service, Oxonia can use it. You connect your keys once, in the admin console.

Two ways to pay for AI

Oxonia's Ai enabled features can run in two ways:

Shared AI credits. The university buys credit from Oxonia and every product draws from one wallet. See Shared AI credits.
Your own AI keys. The university connects the AI service it already pays for. Oxonia uses those keys.

Both options are part of the platform. Choose the one that fits how your university buys and governs AI.

Why universities choose their own keys

They already have a contract with an AI service and want to use it.
Their AI policy, written perhaps in Oxonia Policy, names which AI services staff may use.
They want AI use billed on their own account, alongside other university use.
Their IT team wants to see AI use in their own tools as well as in Oxonia.

How it works

An admin opens the university admin console.
They add the university's AI keys.
Oxonia products then use those keys for their Ai enabled features.
Admins can still see use by product and department in the console.

What stays the same

The products work the same way whichever option you choose. Captions, summaries, tutorials, marking evidence and minutes follow the same rules. Anything that becomes an official record still waits for a named person to approve it, and AI answers still cite their sources. See How AI drafts are approved.

Keeping keys safe

AI keys are secrets. Only admins with the right role can add or change them, and changes are recorded in the audit log. For more on how Oxonia protects data and secrets, see Encryption and Access controls and 2FA.

Governing AI use

Using your own keys fits well with Oxonia Policy, which keeps a register of every AI tool the university uses. Staff request tools, and risk and data checks happen before approval. See Oxonia Lead.

Common questions

Can we switch back to shared credits? Yes. An admin can change the option in the console. The products carry on working in the same way.

Do our keys change prices? Product prices stay the same. You pay your AI service directly for the use made through your keys, instead of buying credit packs from Oxonia.
