Five roles
Roles and permissions
Every person in Oxonia has one or more roles. Roles decide which products they see and what they can do in them.
The five roles
Oxonia keeps roles simple. There are five, and they match how a university already works.
- Leader. Vice-Chancellor, DVCs, Registrar, Bursar, Deans and Council members. Leaders use Oxonia Lead: Compass, Senate, Policy and Nexus.
- Admin. Registry, exams office, bursary, faculty officers, secretaries and HR. Admins use Oxonia Operate: Office and Advance, plus the exams office side of Mark.
- Lecturer. Lecturers, tutors, heads of department and external examiners. Lecturers use Oxonia Teach: Scribe, Tutor and Mark.
- Student. Undergraduates and postgraduates. Students use Oxonia Learn: Scribe, Tutor, AI Hub and Wallet.
- Researcher. Academic staff, PhD students, supervisors and the research office. Researchers use Oxonia Discover: Research and Library.
One person can hold more than one role
A Dean who still lectures is a leader and a lecturer. A PhD student who tutors is a student, a researcher and a lecturer. Roles add together on the same Oxonia Academy ID, so nobody needs two accounts.
Roles inside products
Some products have their own duties within a role. These are set by the people who run that product:
- In Oxonia Mark, a named examiner approves each script. External examiners sample blind.
- In Oxonia Senate, the secretary edits, approves and e-signs the minutes. Members read packs and vote.
- In Oxonia Nexus, regulator returns are signed off by the Vice-Chancellor.
- In Oxonia Office, approvals for leave, purchases and travel go to the right line manager, with acting cover from the directory.
Guardians and sponsors
Guardians and sponsors can see a student's balance and pay fees in Oxonia Wallet. They see only what they need to pay and support the student. They do not see marks or tutorials.
Approval cannot be delegated to AI
Roles decide who may approve. They never let the system approve on its own. Marks, minutes and policies wait for a named person. See How AI drafts are approved.
Setting and checking roles
Admins set roles in the university admin console. Changes take effect when the person next opens the app launcher. Changes to roles are recorded in the audit log.
