Acceptable use
Acceptable use policy
This policy sets out the rules for using Oxonia. It applies to every student, member of staff, guardian, sponsor and guest who uses Oxonia through a university.
1. About this policy
Last updated: 10 October 2026.
This policy forms part of our terms of service with each university. Your university's own IT, conduct and assessment rules also apply. If they are stricter, follow them. The AI fair use policy adds rules for AI features.
2. Use Oxonia for its purpose
Use Oxonia for teaching, learning, research, governance and administration at your university, and for paying and supporting fees through Oxonia Wallet.
3. Keep accounts safe
- Do not share your account or let others use it.
- Do not try to use another person's account or see records your role does not allow, such as other students' marks or unpublished minutes.
- Tell your university at once if you think your account has been misused.
4. Do not upload harmful or unlawful content
- Content that is unlawful, threatening, harassing, hateful or discriminatory.
- Content you do not have the right to share, such as copyrighted material outside what the law or a licence allows.
- Malicious software or files designed to cause harm.
- Personal data that has no place in the task, such as other people's health details in a tutorial.
5. Respect academic integrity
- Follow your university's rules on AI in assessment, including the level of AI use allowed for each module.
- Make honest AI-use declarations in Oxonia AI Hub.
- Do not use Oxonia Tutor or any other feature to produce work you then submit as your own, where that is not allowed.
- Do not try to manipulate marking, for example by hiding instructions in an exam answer.
6. Respect recordings and meetings
- Do not record anyone without the notice or consent your university requires.
- Do not share lecture recordings, study packs or board packs outside the people they are meant for.
- Treat Council and Senate papers as confidential unless they have been published.
7. Do not attack the service
- Do not try to break, overload or get around the security of the service, or bypass rate limits.
- Do not scrape or copy the service in bulk, or use automated tools your university has not approved.
- Do not test the service for weaknesses without permission. To report a weakness, see Vulnerability disclosure.
8. If the policy is broken, and contact
Your university will usually deal with a breach under its own rules. Where a breach puts the service or other people at risk, we may suspend the account involved while we look into it, and we will tell the university.
To report misuse: support@oxonia.ai, or security@oxonia.ai for security concerns.
