Responsible AI

Fair use

AI fair use

Oxonia's AI features are there to help a university teach, learn, research and govern. This policy explains what fair use looks like.

About this policy

Last updated: 10 October 2026.

This policy applies to everyone who uses Oxonia through a university's account. It sits alongside the acceptable use policy, the responsible AI policy and the terms of service. The university's own AI policy also applies, and it may be stricter.

What the AI features are for

  • Capturing lectures and turning them into study packs.
  • Tutorials that help students think through their own work.
  • Marking against an approved rubric, with a named examiner's approval.
  • Answering questions from the university's own collections, with citations.
  • Drafting minutes, policies, memos, returns and bids for people to approve.
  • Summarising what changed for leaders, with sources.

What they must not be used for

  • Presenting AI drafts as a person's decision without that person's approval.
  • Getting around the university's rules on AI in assessment, such as having Oxonia Tutor write an essay that a student then submits as their own.
  • Uploading material the person has no right to use, or personal data that has no place in the task.
  • Trying to make the AI produce harmful, unlawful or discriminatory content.
  • Trying to extract other people's data, or to defeat the platform's safeguards.
  • Automated or bulk use that is not part of normal university work.

Fair use of shared AI credits

Universities that use Oxonia's shared AI credits draw from one wallet, and admins can set a monthly budget. Use should be in line with normal university activity. If use is far outside what a university's plan would expect, we will contact its admins to talk about it before taking any other step. Universities can buy more credits, as shown on our pricing page, or use their own AI keys.

Students and AI

Students should follow the university's AI rules for each assessment. Oxonia AI Hub explains the rules with the clause, and collects AI-use declarations. If a student is unsure, they should ask their lecturer.

If something goes wrong

If the AI produces something wrong, unfair or harmful, report it. Staff can use the incidents log in Oxonia Policy. Students should tell their lecturer or the university. Anyone can also email support@oxonia.ai. We review reports and use them to improve the platform.

Breaches of this policy

Breaches are handled first by the university, under its own rules. Where use puts the service or other users at risk, we may limit access as the terms of service allow, and we will tell the university. Questions: support@oxonia.ai.
