Frequently asked questions: Oxonia Research

What does Oxonia Research do, and who uses it?

Research brings the research office into one place: funding calls, grant bids, ethics, projects, PhD supervision and outputs. Researchers, PhD students, supervisors and the research office use it.

How are funding calls matched to researchers?

The research office adds calls, and each researcher sees the ones that match their interests, with a short reason backed by exact quotes from the call. If AI matching is switched off or credit runs out, matching falls back to shared keywords.

How do grant bids work?

Researchers draft each section, with AI drafts kept apart until a person accepts them, and build the budget. The bid follows your internal approval chain, in which nobody approves their own bid or two steps of the same round. An award becomes a project with the bid's team and budget.

How does research ethics work?

Applications go to reviewers, and the committee approves, approves with conditions, asks for revisions or rejects. Conditions are tracked until met, approved studies get an ethics number, and expiry and renewal are followed up.

How does PhD supervision work?

Meetings, progress reviews and milestones, from proposal defence and upgrade to submission and viva, are kept for every research student, and each person sees their coming deadlines.

Does it work with ORCID?

Yes. Outputs sync both ways with ORCID. Outputs can also be imported from a CSV file; any already on record, by DOI or by title and year, are skipped rather than duplicated.

How are research figures reported?

The research dashboard, including income by department, shows how every number was counted, from which records and over which dates, so it can be checked.

Who can see what?

Each person's role decides what they see, with extra jobs such as head of department, finance, ethics reviewer, ethics chair or research leader added where needed. Each university's data is kept apart.

Does it work on phones and on weak internet?

Research runs in the browser on phones and laptops and needs a connection; there is no offline mode.

Which languages are supported?

The screens are available in English, French, Portuguese and Arabic.

How does Research connect with the other Oxonia products?

Outputs can be linked to Oxonia Library documents, and seminars and vivas can be recorded in Scribe. Everyone signs in with the same Oxonia Academy ID.

What limits apply, and can we try it?

Matching and drafting use AI credits, with warnings to admins at 80% and 95% and when credits are used up; admins can top up and anyone else can ask their admin. Oxonia can switch Research on as a trial with a set end date, and our team plans the go-live with you.

Frequently asked questions: Oxonia Library

What is Oxonia Library, and who uses it?

Library is a research librarian for the university's own collections. Researchers and students ask questions in plain language; librarians digitise, check and publish theses, past papers, journals and reports.

How do answers work?

Library answers from the passages in your own collections, with numbered citations to the document and page. It searches only published documents, and staff-only collections are never used in a student's answer.

How are old theses digitised?

Upload page images, a PDF or a text file. Each page is cleaned and straightened, and typed or handwritten text is turned into searchable text, keeping headings, footnotes and tables. If a run is interrupted, it carries on where it stopped.

How is AI used, and who approves what is published?

AI reads the pages and drafts the text. Pages under 80% confidence, or with illegible words, are flagged for a librarian to correct. A document is only published to the collection when a librarian clicks to publish it.

Who can see our collections?

The collections belong to the university and are kept apart from every other university. Librarians decide which collections are staff-only. Searches always run inside your own university's library.

How do we bring in what we already have?

Add documents to collections by upload, as PDFs, text files or batches of up to 300 page images, with the title, authors, year, department and supervisor. Collections can be organised by faculty.

What else does Library do for lecturers and researchers?

Lecturers build reading lists from the collections. Researchers save searches and see what is new since they last looked, with a weekly alert. Supervisors can see related past theses.

Does Library work on phones and on weak internet?

Library runs in the browser on phones and laptops. It needs a connection to search and answer; there is no offline mode.

Which languages are supported?

The screens are available in English, French, Portuguese and Arabic. Each document records the language it is written in.

How does Library connect with the other Oxonia products?

Research outputs can be linked to Library documents, and Library uses Oxonia Mark's handwriting engine to digitise pages. Lecturers in Oxonia Teach use it for reading lists, and students in Oxonia Learn for cited answers from past papers and theses.

What limits apply, and what happens when we run low?

Answers and digitising use AI credits; large digitising projects can be added as an add-on. Admins are warned at 80% and 95% and when credits are used up, and can top up or ask Oxonia for more; anyone else can ask their admin. Credits you buy are kept separately from the plan's credits.

Can we try Library, and how do we start?

Yes. Oxonia can switch Library on as a trial with a set end date. A good start is one collection of theses from one faculty. Our team plans the go-live with you; book a demo.
