Oxonia Lead: Governance, AI Policy and Strategy for VCs
Leading a university means deciding well and making sure decisions happen. Oxonia Lead gives leaders the papers, the figures and the follow-through.
Who Oxonia Lead is for
Oxonia Lead is the suite for the people who run the university: the vice-chancellor, deputy vice-chancellors, the Registrar, the Bursar, deans and Council members. Their work is deciding, approving, overseeing and reporting.
Most leaders spend too much of that time looking for information. Papers come by email. Figures come from different offices. Actions are tracked in someone's notebook. Regulator returns are built by hand. AI policy is a document few people have read.
Oxonia Lead brings four products onto one platform: Senate, Policy, Compass and Nexus. Leaders sign in once with their Oxonia Academy ID.
Each product is useful on its own. Together they cover the full governance cycle, from strategy to evidence.
Each leader sees what their role needs. The Bursar sees fee figures and finance approvals. Deans see their faculty's targets, risks and overdue actions. Council members see their papers and the registers of the bodies they sit on. The vice-chancellor sees the whole university, and signs the returns that go to the regulator.
| Leader's question | Product |
|---|---|
| Did we decide it, and did it happen? | Senate |
| Are we using AI safely and lawfully? | Policy |
| How are we doing against the plan? | Compass |
| Can we prove it to the regulator? | Nexus |
Senate: meetings that lead to action
Senate runs Council, Senate and committee meetings. It manages the governance calendar, agendas and board packs with one-page summaries for each paper. It tracks live quorum and voting, transcribes meetings and drafts minutes for the secretary to approve and e-sign.
Resolutions and actions go into registers. Action Chaser reminds owners by email and WhatsApp. Members read everything in the Boardroom app.
For leaders, the result is clear decisions and a reliable record of whether they happened.
Senate also supports exam boards, faculty boards and research ethics committees. Any body that needs papers, decisions and minutes can use it. Secretaries learn one tool rather than several, and leaders see every body's actions in one place.
Policy: governing AI with evidence
Policy helps the university write an AI policy and approve it through Senate. It keeps an AI-use register and handles tool requests. It runs AI literacy training with checkable certificates and manages AI-use declarations for assessments.
Leaders see a readiness score and track incidents. The audit room holds the evidence auditors ask for, and Policy prepares regulator reports. Students and staff reach the approved policy through AI Hub.

Policy matters because AI is moving faster than most university processes. A clear, approved policy, backed by training and records, lets leaders allow useful AI use with confidence rather than banning it out of caution.
Compass: the university at a glance
Compass is the leadership dashboard. It shows live figures from every Oxonia product the university uses. It holds the strategic plan, with goals, targets, owners and red, amber or green status. It keeps the institutional risk register with a heat map.
Compass shows overdue actions by faculty and gives each leader one approvals inbox. Each week it prepares an Ai enabled executive brief, with sources for every point.
For a VC, Compass is often the first screen of the day.
Compass also gives Council a clearer view. Members can see the strategic plan, the main risks and progress on actions without waiting for a long report. That makes Council meetings more focused on the questions that need discussion.
Nexus: evidence for regulators
Nexus keeps verified staff records and tracks accreditation readiness and self-study. It fills regulator returns from those records, for the VC to sign. It prepares for panel visits and tracks findings afterwards.
Nexus means the Registrar can answer a regulator's question with confidence, and a panel visit no longer means weeks of searching for documents.
Verified records also help with internal decisions, such as planning staffing for a new programme or checking that every course has qualified staff. The same records serve the regulator and the university's own planning.
Nexus records also come with Oxonia Operate, so registry and HR staff keep them current day to day while leaders rely on them for returns.
How the four work together
The products share data. Actions from Senate appear in Compass. Policy approvals go through Senate. Accreditation status from Nexus feeds the Compass risk register. Results packs from Mark go onto Senate agendas.
- One login and one approvals inbox for leaders
- Every Ai enabled answer cites its sources
- People approve anything that becomes an official record
- Roles control what each leader sees
- Interfaces in English, French, Portuguese and Arabic
Leaders get the most from Compass when other suites feed it. Fee figures come from Oxonia Operate, teaching figures from Oxonia Teach and research figures from Oxonia Discover.
This shared data is what makes the suite more than four separate tools. A decision made in Senate can be tracked in Compass, evidenced in Nexus and, where it concerns AI, enforced through Policy and AI Hub. Leaders no longer need to stitch the picture together themselves.
Price and how to start
The Lead package costs £52,000 a year for a university with 5,000 to 15,000 students. That is 20% off buying the four products separately. Three-year contracts take a further 10% off. Oxonia Complete includes every suite at 30% off.
Many universities start with Senate for one committee, or with Policy to meet an AI deadline. See our package guide or pricing.
Universities in Nigeria pay 35% of the UK price, billed in naira. A yearly plan costs the same as 10 months. Payment can be made by card, Paystack, bank transfer or invoice and purchase order.
